Information we collect

We may process account details, hotel and staff profiles, guest contact information, reservation and room records, invoices, payment records, uploaded documents, maintenance and service requests, messages, support communications, device information, IP addresses, browser data, and system activity logs. Hotels control the operational guest data they enter into their workspace.

How we use information

We use information to provide and secure the platform, manage hotel workspaces and subscriptions, process reservations and invoices, send messages requested by hotel users, provide support, prevent fraud and abuse, improve product performance, comply with legal obligations, and communicate important service updates.

How information is shared

We do not sell personal information. We may share limited information with infrastructure, payment, email, analytics, AI, authentication, and messaging providers when needed to operate features selected by the hotel. Messaging providers may include Meta WhatsApp Cloud API, WhatChimp, and Twilio. We may also disclose information when required by law or during a legitimate business transaction.

Hotel responsibilities and tenant data

Each hotel workspace is logically separated. Hotel owners and authorized staff are responsible for deciding what guest information they collect, maintaining a lawful basis or consent, assigning staff permissions, and responding to guest privacy requests relating to hotel-controlled records.

Security

We use reasonable administrative and technical safeguards, including access controls, tenant isolation, encrypted sensitive credentials, secure connections, audit information, and restricted administrative access. No internet service can guarantee absolute security, and users must protect their credentials and report suspected misuse promptly.

Retention

We retain information while an account is active and as reasonably necessary to provide the service, maintain legitimate business and security records, resolve disputes, enforce agreements, and meet legal obligations. Retention periods vary by record type. Hotels may request deletion subject to backup cycles and records we must retain by law.

Your privacy rights

Depending on applicable law, individuals may request access, correction, deletion, restriction, objection, or a portable copy of their personal information. Guests should normally contact the hotel that collected their information first. Platform account holders may contact our support team. We may verify identity and authority before completing a request.

Cookies and similar technologies

We use essential cookies and similar technologies for authentication, security, preferences, sessions, and platform operation. Optional analytics technologies may be used when configured. Browser controls can restrict cookies, but essential platform functions may stop working.

International processing

Our providers and users may operate in different countries. Information may therefore be processed outside the country where it was collected. Where required, we use appropriate contractual or legal safeguards for international processing.

Children

The platform is intended for hotels and business users, not for children to create independent accounts. Hotels are responsible for handling guest information, including information relating to minors, in accordance with applicable law.

We may update this policy as the platform, providers, or legal requirements change. The effective date will be updated when material revisions are published. Continued use after an update means the revised policy applies to future use.
